At the Technical University of Liberec, we solved a comprehensive analysis of payment processes.
Thousands of payments are made at the university – for dormitories, cafeterias, courses, ID cards, printing, and books. But each place handles it differently: some use software, others use Excel, and some even use pen and paper. Accountants then print out statements, sign them by hand, and take them to the mailroom.
Although bank statements are downloaded automatically, a significant limitation of the current solution is technical availability – statements sometimes cannot be obtained on time due to outages in the application used to download them.
Manual work, fragmented records, and technical limitations burden not only the accounting department but also the everyday running of the university. To ensure everything runs efficiently, the entire process needed to be significantly simplified and digitized.

Project goal:
Our goal was to unify this disparate infrastructure into one digital environment, automate the creation of monthly reports and significantly facilitate their processing, approval and export to the accounting system.


Process
Solution
We designed PayHub – an internal application for digital processing of payment data at TUL, which will enable:
- Connection to all key university systems via REST API.
- Automatic generation of monthly revenue reports for individual departments with the possibility of export to a format compatible with the university's central accounting system.
- Integration of digital approval workflow.
- Direct connection to banking API, processing of bank statements including their modifications and distribution.

Conclusion
We verified payment processes for the Technical University in Liberec, identified weak points and designed a solution and functional system that will now save time, work and errors.
